One of the most common operational challenges inside growing businesses is surprisingly simple:

Who owns this subscription?

At first, the answer is easy.

The founder purchases software. The team is small. Everyone knows what is being used.

As the organization grows, things change.

Marketing buys tools.

Sales buys tools.

Design buys tools.

Operations buys tools.

New employees join. Others leave. Responsibilities change.

Months later, nobody remembers who originally purchased a subscription, who receives the renewal notifications, or who is responsible for managing access.

This lack of ownership creates risk.

Renewals may be missed.

Accounts may remain active after employees leave.

Duplicate purchases may occur.

Budgeting becomes difficult.

Every software tool should have a clearly defined owner.

The owner is not necessarily the primary user.

The owner is the person responsible for:

  • Vendor communication
  • Billing awareness
  • Access management
  • Renewal decisions
  • Internal accountability

Organizations that assign ownership to every tool gain clarity and reduce operational friction.

The larger the software portfolio becomes, the more valuable ownership tracking becomes.

A simple question like "Who owns this subscription?" should never require a company-wide investigation.
